Gallery Night Coordinator and Administrative Assistant

Note: this is a 1099-nec position (not an employee.)

Reporting to Executive Director

Job Description:

Opportunity to: work with a small, dedicated team to deliver free monthly art experiences to diverse public audiences; contribute organizational skills to small non-profit; learn more about or become more involved in the Providence arts scene.

Must be available on all Third Thursdays March through November from 3-9 pm; additional hours worked on own schedule within parameters required to meet tour announcement and coordination and other deadlines.

Coordinate and serve as point of contact on Third Thursday Gallery Nights for Gallery Night guided tours.

Reserve vehicles, and serve as the primary point of contact with transportation rental company.

Create tour schedules for each Gallery NIght and communicate schedule to partner galleries and other stakeholders

Collect all documents and supplies, set up check-in at both Gallery Night locations (WaterFire Arts Center and the Graduate) on each Gallery Night.

Work with the Executive Director to schedule and communicate with guides and volunteers.

Manage Gallery Night Providence Shared Drive, maintain electronic and paper filing systems and serve as email administrator.

Collect, enter, and maintain data on Gallery Night tours; update lists and passwords, produce data reports for board and grants.

Assist with letter writing and other correspondence.

Serve as part of the website team. Adhere to user-level security protocols, but duties exclude IT support and website security.

Provide additional administrative and research support to Executive Director and board members as needed.

Requirements:

Highly organized, reliable, detail oriented, and able to work independently and efficiently.

Good communicator

Proficient with Google drive and Gmail

Knowledge of Squarespace helpful.
